For each task, score frequency, frustration and business impact from 1 (low) to 5 (high). Its opportunity score is frequency × frustration × impact, out of 125. Compare tasks using the same scale.

How to choose a score

Frequency: 1 = monthly or less; 2 = weekly; 3 = several times a week; 4 = daily; 5 = several times a day. Frustration: 1 = easy; 3 = annoying; 5 = draining. Impact: 1 = minor convenience; 3 = meaningful time saved; 5 = directly affects customers or revenue.

Name the repetitive work

Write down three tasks you do again and again. Be specific: “copy new leads into the CRM” is more useful than “admin.”

Score each task

Use the scorecard above. For each named task, multiply frequency × frustration × business impact. Use the same 1–5 scale for every task.

Choose the first opportunity

Start with the highest-scoring task. If tasks tie, choose the one with clear inputs, predictable steps, and fewer exceptions.

Check before you build

  • What starts the task?
  • Where does the information come from?
  • What should the finished result look like?
  • Which exceptions need a person?
  • How will you notice a failure?

Run one small experiment

Write the steps down. Automate one repeatable step, test it with sample data, and compare the time it takes with your current process. Keep a person reviewing the result until it is reliable.
